Printer setup

Connect My Printer To Computer: What Actually Needs Set Up

Printer setup explained in plain English: Wi-Fi, USB, drivers, scanning, default printers and testing.

26 March 20262 min read

Connecting a printer to a computer is not one single job. It can involve the printer joining Wi-Fi, the computer finding it, the right driver installing, scanning software working and the correct printer being set as default.

If any step is skipped, the printer may work once and then vanish.

Know what kind of setup you need

Run through the safe checks before you spend money, reset devices or start changing settings you may need later.

  • Is the printer USB, Wi-Fi or ethernet?
  • Do you need printing only, or scanning too?
  • How many computers, phones or tablets need it?
  • Has the router changed recently?
  • Do you use Windows, Mac, Chromebook or phone printing?

What the symptoms usually mean

The printer prints from a phone but not from the computer

Usually points to

The printer is on the network correctly, so the fault is on the computer side: usually a missing or wrong print queue, or a driver that installed as a generic device rather than the real model.

Best next step

Remove every entry for that printer from Printers and Scanners, then add it once from the manufacturer's own software so the full driver installs rather than a generic one.

It printed when set up, then stopped a few days later

Usually points to

The printer almost certainly changed IP address. Home routers hand out addresses on a lease, and when the lease expires the printer can be given a different one while the computer is still looking for the old.

Best next step

Give the printer a fixed address, either by setting a static IP on the printer itself or by reserving its address in the router, so the computer always finds it in the same place.

Printing works but scanning does not

Usually points to

Windows and macOS can install a basic print driver automatically, but scanning needs the fuller manufacturer package. The automatic install covers printing only.

Best next step

Install the full software suite for the model (HP Smart, Epson ScanSmart, Canon IJ Scan Utility or similar), then set a scan destination folder before testing.

Wi-Fi setup has two sides

The printer must join the Wi-Fi, and the computer must install the correct printer entry. Doing only one side is why many setups fail.

Scanning needs extra attention

A printer can print but not scan if the fuller software package is missing or the scan destination is not configured.

Testing matters

A good setup ends with a real print test, scan test if needed, and a quick explanation of which printer entry to use.

Do not assume the automatic driver is the best driver

Automatic installs can work, but full printer functions often need the correct manufacturer software.

Quick questions

Can you set up printing and scanning?

Yes, where the printer supports it. I test both before finishing.

Can one visit connect all devices?

Usually, yes. Have the devices and Wi-Fi details ready.

Can this be done remotely?

Sometimes, if the printer is already on Wi-Fi and the computer can get online.
